About the role#
The Guest Experience Administration Intern supports the recruitment, onboarding, and training of seasonal staff for INDYCAR. You will work closely with HR and payroll teams to manage hiring processes and resolve administrative issues. This role requires a balance of office-based clerical work and on-site operational support during major events.
What you'll do#
- Support application and onboarding activities for seasonal employees.
- Conduct phone interviews and manage hiring software.
- Assist with training development for 750 seasonal staff members.
- Manage Track Rescue hiring processes for approximately 150 employees.
- Troubleshoot event-day staffing issues and collaborate with Safety Patrol leadership.
- Execute staff welfare initiatives and plan staff events with the Administration Coordinator.
- Provide operational support for the IMS Guest Experience department.
- Collect and report post-event feedback.
- Resolve customer service concerns.
- Participate in College Program development activities.
What you'll need#
- Currently pursuing an undergraduate or graduate degree.
- Strong interest in event planning, execution, and staffing operations.
- Ability to react to problems quickly with minimal supervision.
- Advanced computer skills and effective written and verbal communication.
- Interpersonal and leadership skills with the ability to work in a diverse environment.
- Previous experience in the IMS College Program is preferred.

Location & details#
- Location: Indianapolis, Indiana.
- Term: January 2027 through July 2027.
- Modality: On-site.
- Schedule: 10-15 hours per week from January to April and June to July. 40+ hours per week in May, including weekends and evenings.
- Physical requirements: Ability to lift up to 25 pounds and work long, irregular hours in varied office and event environments.
