    About the role#

    The Senior Administrative Assistant and Office Manager supports the Student Involvement and Traditions (SIT) and Community Engagement and Leadership Development (CELD) offices. This role serves as the primary point of contact for the dual-office suite, managing daily operations, systems, and administrative functions to support over 350 student organizations, campus traditions, and leadership programs.

    What you'll do#

    • Serve as the office manager for a dual-office suite, overseeing organization, cleanliness, technology, and facilities.
    • Supervise one full-time administrative staff member and provide joint oversight for multiple part-time student staff, including hiring and training.
    • Provide primary administrative support to two directors and secondary support to other professional staff, including scheduling, travel coordination, and meeting logistics.
    • Manage office reception and communications, including email accounts, phone coverage, and visitor traffic.
    • Maintain the accuracy of departmental information across websites, chatbots, and student organization management tools.
    • Oversee the use of non-maker storage and office spaces by students, including inspections and issue management.
    • Coordinate staff search processes in partnership with hiring managers and lead student staff hiring and compliance efforts.
    • Manage ongoing and ad-hoc departmental projects and initiatives.

    What you'll need#

    • A High School Diploma or GED is required; a Bachelor’s Degree is preferred.
    • At least five years of related experience, ideally in higher education, community organizations, or non-profit settings.
    • Previous supervision experience is preferred.
    • Proven administrative support and office management skills.
    • Strong organizational, planning, and communication skills.
    • A commitment to supporting the needs of a diverse student body.
    • Ability to pass a pre-employment background check.

    Location & details#

    • Location: Pittsburgh, Pennsylvania.
    • Work Modality: This position is eligible for a hybrid work schedule.
    • Employment Type: Full-time.
