The Senior Administrative Assistant and Office Manager supports the Student Involvement and Traditions (SIT) and Community Engagement and Leadership Development (CELD) offices. This role serves as a primary point of contact for a dual-office suite, managing daily operations and systems to support over 350 student organizations, campus traditions, and leadership programs. This is a full-time position that requires a high level of organization and the ability to thrive in a high-traffic environment while providing service to a diverse student body.
What you'll do#
- Serve as office manager for the dual-office suite, overseeing organization, cleanliness, technology, and facility function.
- Supervise one full-time administrative staff member and provide joint oversight for multiple part-time student staff, including hiring and training.
- Provide primary administrative support to two directors and secondary support to other professional staff, including travel coordination and meeting logistics.
- Manage office reception and communications, including email accounts, phone inquiries, and in-person traffic.
- Oversee the experience of students in non-maker storage and office spaces, including conducting periodic inspections.
- Coordinate staff search processes in partnership with hiring managers and lead administrative onboarding for new hires.
- Manage administrative compliance for student staff, including HR system initiation and hours reporting.
- Maintain the accuracy of information across departmental websites, chatbot responses, and student organization management tools.
What you'll need#
- High School Diploma or GED required; Bachelor’s Degree preferred.
- Five years of related experience, preferably in higher education, non-profit, or community organization settings.
- Previous supervision experience is preferred.
- Proven administrative support and office management skills.
- Strong organizational, planning, and interpersonal communication skills.
- A demonstrated commitment to supporting the needs of a diverse student body.
- Ability to pass a pre-employment background check.

- Location: Pittsburgh, PA.
- Work Modality: This position is eligible for a hybrid work schedule.
- Employment Type: Full-time.
