About the role#
This is a full-time, 4-month co-op or internship position for Winter 2027. You will provide general office support and clerical tasks to help business groups operate. You will work under supervision to complete standardized tasks and troubleshoot routine problems, escalating non-routine issues as needed.
What you'll do#
- Manage filing systems and maintain databases.
- Track, verify, and process department budget and capital expenditure invoices.
- Prepare funding approval requests for department projects.
- Coordinate work orders for equipment maintenance and repairs.
- Maintain office supply inventory and place orders.
- Schedule meetings, coordinate catering, room setups, and conference calls.
- Book travel arrangements and prepare itineraries for management.
- Answer central phone lines and resolve inquiries.
- Write, edit, and distribute communication materials.
- Process updates to departmental procedures.
- Verify staff timesheets and track attendance data.
- Liaise with internal units and external vendors to coordinate office premises changes.
What you'll need#
- High school diploma or equivalent work experience.
- A certificate in Office Administration is desirable.
- Working knowledge of general office procedures and equipment, such as printers and photocopiers.
- General knowledge of audio-visual equipment.
- Basic verbal and written communication skills.
- Basic organizational, collaboration, and team skills.
- Current enrollment in an academic program with the intent to return to studies.
