About the role#
As a Private Wealth Administrative Assistant, you will provide general office support and clerical services to business groups. This is a full-time, on-site co-op/internship opportunity for Winter 2027 based in Waterloo, Ontario. You will perform standardized tasks under supervision, troubleshoot routine problems, and maintain audit trails to support business objectives.
What you'll do#
- Compile, copy, sort, and file business records while administering the office filing system.
- Create and maintain information in databases.
- Prepare funding approval requests and process budget and capital expenditure invoices.
- Resolve or escalate invoice discrepancies.
- Coordinate work orders for equipment maintenance and repairs.
- Maintain office supplies inventory and verify incoming orders.
- Schedule meetings, coordinate catering, room setups, and conference calls.
- Book travel arrangements and prepare itineraries for management.
- Answer central phone lines and resolve inquiries.
- Write, edit, and distribute communication materials such as reports, agendas, and presentations.
- Process updates to departmental procedures.
- Verify staff timesheets and track attendance data.
- Liaise with internal and external units to coordinate premises changes and office planning.
What you'll need#
- Current enrollment in an academic program with a plan to return to studies.
- High school diploma or equivalent work experience.
- A certificate in Office Administration is considered an asset.
- Working knowledge of general office procedures and office equipment.
- General knowledge of audio-visual equipment.
- Basic verbal and written communication skills.
- Basic organizational, collaboration, and team skills.
