About the role#
As a Portfolio Assistant, you act as the operational backbone of the team. You ensure smooth day-to-day branch operations and manage administrative processes. This role involves working with advisors, clients, and business partners to streamline operations and support team projects.
What you'll do#
- Manage calendars, schedules, and meeting logistics.
- Prepare documentation, reports, meeting materials, and client review packages.
- Maintain accurate client records and ensure tasks are completed on time.
- Coordinate office workflows, monitor deadlines, and organize files.
- Support strategic initiatives by tracking milestones and monitoring progress.
- Gather, format, and analyze data for reports and dashboards.
- Respond to client inquiries and manage requests.
- Coordinate marketing activities, client events, and sales materials.
- Monitor business performance metrics and identify process improvements.
- Ensure all activities comply with regulatory requirements and support risk management processes.
- Maintain knowledge of investment products and services.
What you'll need#
- Post-secondary education in Business, Finance, Administration, or a related field.
- 0-1 year of experience in an administrative, financial services, client service, or operations support role.
- Strong administrative, organizational, and time-management skills.
- Experience coordinating schedules, documents, and operational processes.
- Excellent attention to detail and a commitment to accuracy.
- Strong communication and relationship-building skills.
- Analytical thinking and problem-solving capabilities.
- Ability to work collaboratively in a team.
- Fluency in French and English.
- Relevant investment industry licensing, where required.
