About the role#
This is a full-time, paid internship for the Winter 2027 term. You will work on-site in Oakville, Ontario, providing administrative support to business groups while gaining professional experience within a financial services environment. You will perform standardized tasks under supervision and learn to resolve routine problems within established guidelines.
What you'll do#
- Provide general office support, including filing, database entry, and record management.
- Track, verify, and process department budget and capital expenditure invoices.
- Prepare funding approval requests and resolve invoice discrepancies.
- Schedule meetings, coordinate catering and room setups, and manage travel arrangements for management.
- Maintain office supplies inventory and coordinate work orders for equipment maintenance.
- Answer central phone lines and respond to inquiries.
- Write, edit, and distribute communications materials such as reports, agendas, and presentations.
- Verify staff timesheets and track attendance data.
- Liaise with internal units and external vendors to coordinate office premises changes.
- Collaborate with stakeholders to ensure business objectives are met while maintaining audit trails.
What you'll need#
- High school diploma or equivalent work experience.
- A certificate in Office Administration is preferred.
- Basic knowledge of general office procedures and equipment, such as printers and photocopiers.
- Familiarity with audio-visual equipment.
- Basic verbal and written communication skills.
- Basic organizational and team collaboration skills.
- Ability to perform initial problem solving within defined rules.
