About the role#
The Temporary Personnel Coordinator supports the international student workforce at Shaw's and Star Market. You will act as the primary liaison between students, store teams, housing providers, and visa sponsors. This role requires managing complex logistics and building relationships to ensure a smooth, compliant, and welcoming experience for J-1 participants.
What you'll do#
- Collaborate with sponsors on hiring timelines and placements.
- Maintain the hiring spreadsheet and internal team pages.
- Conduct virtual interviews and review student applications.
- Coordinate housing logistics, including sourcing leads, confirming details, and managing move-in/move-out processes.
- Facilitate store-level orientations and guide teams through onboarding tasks like I-9 verification and MyACI setup.
- Ensure compliance by collecting and verifying visa documentation, passports, and SSN updates.
- Support students by responding to inquiries, organizing cultural events, and providing guidance on local resources.
- Travel regularly to store locations for check-ins, orientations, and site visits.
- Manage end-of-season tasks, including rehire processing and final documentation.
What you'll need#
- Proficiency in Microsoft 365, specifically Excel, Outlook, and Teams.
- Strong written and verbal communication skills.
- Ability to work independently and manage sensitive information with discretion.
- Experience navigating complex logistics and problem-solving.
- Willingness to work flexible hours, including early mornings or evenings during peak arrival periods.
- Preferred: Experience with J-1 programs, grocery retail, housing coordination, or immigration documentation.
- Preferred: Ability to speak a second language or experience working with multilingual populations.

- Term: Temporary, November through August.
- Work Modality: On-site with required travel to various store locations.
