The Administrative Specialist serves as a central operational resource for the Jones Center for Leadership and Service, the Office of Sorority and Fraternity Life, and the Student Union. This role ensures the efficient day-to-day functioning of these three departments within the Division of Student Life by managing administrative processes, financial documentation, and office logistics. The position works closely with departmental leadership and serves as a primary point of contact for students, faculty, staff, alumni, and community partners.
What you'll do#
- Serve as the primary point of contact for visitors and manage shared communication channels.
- Support daily front-office operations across the three units.
- Coordinate office logistics including space reservations, building access, and maintenance requests.
- Facilitate business processes related to purchasing, travel, and financial documentation.
- Assist with onboarding processes for new staff and provide backup administrative support to the Assistant Vice Chancellor for Leadership and Engagement.
- Maintain office records, inventory, and departmental materials.
What you'll need#
- High school diploma or GED (a bachelor's degree is preferred).
- At least 2 years of administrative support experience.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple reservations and deadlines simultaneously.
- Proficiency in standard office technologies and business software, including the Microsoft Office Suite.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- A customer service-oriented mindset with a professional demeanor.
