About the role#
The Planning Intern supports the logistics and production of conference and festival venues. This role provides hands-on experience with large-scale event operations, from initial planning to on-site execution. You will work with internal teams and stakeholders to ensure venue requirements are met.
What you'll do#
- Cross-check Banquet Event Orders for food, beverage, audio-visual, and furniture needs.
- Create venue diagrams and submit signage and banner orders.
- Help manage back-of-house entries and security details.
- Prepare contracts and essential documentation.
- Attend pre-event walk-throughs and client meetings.
- Gather schedules, contacts, and supplies for on-site management.
- Oversee an assigned conference programming venue, including room flips and speaker needs.
- Provide administrative support through internal communications and print materials.
- Assist with urgent, last-minute requirements.
What you'll need#
- Enrollment in an accredited university or college as a degree-seeking student, preferably in Business Administration.
- Current residency in Texas.
- Prior experience in an event management or logistics role.
- Ability to solve problems under pressure.
- Proficiency in Google Suite, Microsoft Office, and Adobe Suite.
- Strong organizational skills and the ability to work as a self-starter.
- Effective communication skills for team collaboration.

- This is an on-site position based in Austin, Texas.
- The term is for the Winter 2027 season.
- This is a paid internship.
