About the role#
As a Workplace Experience Coordinator, you will join the Hospitality Services and Workplace Operations team. This role provides front-line service to employees, executives, clients, and visitors. You will support the daily functions that keep business lines running, ensuring a professional and welcoming environment.
What you'll do#
- Welcome employees, executives, clients, and visitors as the central point of contact.
- Maintain expert knowledge of workplace amenities, meeting spaces, and service offerings to assist guests.
- Review daily appointments, room bookings, and the Visitor Management System to resolve any operational deficiencies.
- Support senior leadership and operations teams with meeting and event requirements, including set-up, food service orders, and printed materials.
- Manage shared service request inboxes and provide general administrative support.
- Perform key-holder duties, support badge distribution, and complete daily opening and closing procedures.
- Act as the first point of contact for office equipment, video conferencing, and meeting-room technology.
- Coordinate with internal partners and external vendors to address maintenance and equipment needs.
- Ensure security credentials and access control requirements are followed.

- Excellent verbal and written English communication skills.
- Ability to prioritize multiple tasks with strong organizational and time-management skills.
- Strong interpersonal skills to interact effectively with executives, vendors, and internal teams.
- Intermediate proficiency in Microsoft Word, Excel, Outlook, OneNote, and Teams.
- Ability to work with minimal supervision while collaborating in a large team.
- Reliability, punctuality, and flexibility to respond to changing business needs.
- Ability to learn visitor management, facility-management tools, and meeting technology.
