About the role#
The University Events Student Assistant helps with the planning, preparation, execution, and breakdown of events across campus facilities and outdoor spaces. You will work as part of the University Events team to provide a professional, safe, and organized experience for students, faculty, staff, and guests. This role provides hands-on experience in event operations, venue management, hospitality, and logistics for a variety of functions including meetings, performances, lectures, ceremonies, and donor events.
What you'll do#
- Assist with the setup and breakdown of event spaces, including arranging tables, chairs, staging, podiums, linens, and signage.
- Perform theatrical and stagehand tasks such as load-in and load-out, scenery setup, and production equipment handling.
- Review event spaces before guest arrival to ensure they are clean, organized, and properly configured.
- Support daily venue operations by conducting opening, closing, and readiness checks.
- Provide customer service by greeting guests, managing check-ins, and offering directions.
- Operate basic lighting, sound, audiovisual, and production equipment during events.
- Maintain organized storage areas and report maintenance or safety concerns to staff.
- Assist with administrative tasks including data entry, file preparation, and event supply management.
- Follow all safety protocols and emergency procedures to keep event spaces secure.
What you'll need#
- Must be currently enrolled as a student at The University of Tulsa and meet student-employment eligibility requirements.
- Federal Work-Study employees must maintain eligibility.
- Ability to work a flexible schedule that includes evenings, weekends, and holidays.
- Strong interpersonal and customer-service skills with the ability to communicate professionally.
- Ability to follow verbal and written instructions and work effectively both independently and as part of a team.
- Dependable and punctual attendance is required.
- Basic familiarity with computers, email, and common productivity applications.
- Ability to manage multiple tasks and exercise sound judgment.
- Willingness to learn event procedures, facility technology, and safety requirements.
- Ability to maintain confidentiality regarding sensitive information.
