Co-op, Proposals Coordinator

About the role#

The Proposals Coordinator Co-op supports the proposal team in the coordination and development of RFx submissions, including Requests for Proposal and Requests for Quotation. This role provides hands-on experience in business development and proposal processes within the construction and utility services industry. You will work under the supervision of a Proposal Supervisor or Proposal Lead to assist with administrative, formatting, and coordination tasks.

What you'll do#

• Support the proposal team on active RFx submissions through document preparation, coordination, and administrative tasks.
• Review RFx documents to identify submission requirements, forms, and deadlines.
• Maintain proposal schedules, trackers, and document libraries.
• Prepare and format proposal documents using established templates, branding standards, and style guides.
• Assist in assembling final proposal submissions, including compiling content and packaging deliverables.
• Take notes during meetings and track action items.
• Conduct quality checks for formatting consistency and completeness.
• Support updates to content libraries, such as project profiles and resumes.

What you'll need#

• Current enrollment in a college or university program in Communications, Marketing, Business, Engineering, or a related field.
• Strong attention to detail and a willingness to follow structured processes.
• Strong written and verbal communication skills.
• Basic proficiency in Microsoft Office, including Word, PowerPoint, and Excel.
• Ability to work collaboratively in a team environment with multiple stakeholders.
• Strong organizational skills with the ability to manage multiple tasks.
