Archives and Records Management Intern: Artwork Documentation

About the role#

The Archives and Records Management Intern will work directly with the Archivist/Records Manager to support a pilot project focused on centralizing access to artwork-related documentation. This role provides an opportunity to gain experience in records management, collections information management, and digital asset management within a museum context. The intern will assist in developing standards for organizing digital object records and gain exposure to cross-departmental workflows, including Curatorial, Registration, and Conservation.

What you'll do#

• Survey and inventory incoming born-digital documents.
• Upload and describe documents within the museum’s digital asset management system.
• Ensure incoming information regarding objects is accurately reflected in the collection management system.
• Compile digital object files, produce inventories, and draft procedural documentation for digital records.
• Digitize archival materials and prepare files for long-term storage and access.

What you'll need#

• Current student in or recent graduate of a Masters-level program in library science, records management/administration, museum studies, or a related field.
• Strong organizational skills and high attention to detail.
• Demonstrated interest in archives and records management within a museum setting.
• Proficiency with Microsoft Office Suite, Microsoft 365 (Teams and SharePoint), and task-management tools such as Asana and Airtable.
• Experience handling fragile objects, specifically paper and audiovisual materials.

Location & details#

• Term: Fall 2026.
• Work Modality: Fully on-site at San Francisco, California. The workspace is divided between the museum’s Third Street location and the Collection Center in South San Francisco.
• Commitment: At least 3 hours per week.
• Compensation: This is an unpaid internship; applicants must provide proof of receiving school credit.
