Job Description: Assist with routine review of clinical and administrative records for required documentation. Review charts for completeness of assessments, treatment plans, consents, progress notes, authorizations, CAFAS/DLA-20 and other required documents. Maintain compliance tracking spreadsheets and audit logs. Assist with tracking missing or expired documentation. Support preparation for DBH, CARF, DHCF and other regulatory audits. Organize compliance documents and evidence for internal and external reviews. Assist with monitoring corrective-action items and follow-up deadlines. Help maintain compliance calendars and reminders. Identify documentation discrepancies and bring them to the Compliance/QI supervisor’s attention. Assist with monitoring staff completion of required compliance activities and training.
Quality Improvement
Assist with monthly and quarterly QI audits. Enter and organize QI data and audit findings. Assist with identifying trends, recurring documentation issues, and service-delivery concerns. Prepare basic charts, spreadsheets, and reports for QI meetings. Assist with tracking QI indicators and performance goals. Support consumer satisfaction survey collection and analysis. Assist with reviewing grievances, incidents, complaints, and service concerns for tracking purposes. Help monitor corrective-action and performance-improvement plans. Assist with preparing materials for QI Committee meetings. Support process-improvement projects designed to improve documentation, service quality, and consumer outcomes.
Administrative/Data Support
Maintain confidential electronic files in accordance with organizational policies. Use Excel/Google Sheets or other systems to organize compliance and QI information. Assist with data entry and reconciliation. Prepare weekly/monthly compliance reports for the supervisor. Participate in compliance/QI meetings and document assigned action items. Maintain strict confidentiality and follow HIPAA requirements.
