About the role#
As a Proposal Team Coordinator Intern, you will join our Proposals Department to evaluate and improve our current risk management and project tracking process, known as the RFX Checklist. You will assess existing tools and help develop an enhanced solution to better track and manage proposal requirements, risks, and project activities. This role is a full-time, on-site summer position located at our Milwaukee headquarters.
What you'll do#
- Document the current RFX Checklist, including workflows, requirements, and pain points.
- Collaborate with the Proposals team and cross-functional stakeholders to identify opportunities for process improvement, automation, and risk reduction.
- Evaluate our risk management and project tracking to improve validation, consistency, and visibility.
- Define business and functional requirements for a redesigned RFX tool.
- Develop recommendations for automated validation, required fields, and workflow controls.
- Research technology tools to support proposal management, document management, and workflow automation beyond current PDF-based packages.
- Map current and future-state workflows and create supporting materials like process maps, user guides, and diagrams.
- Develop and test prototypes for the redesigned tool.
- Organize project information, track action items, and present findings to department leadership.
What you'll need#
- Currently pursuing a Bachelor's degree in Business Administration, Communications, Computer Engineering, Industrial Engineering, English, or a related field.
- Interest in business process improvement, workflow design, technology, and project management.
- Strong analytical and problem-solving skills with an eye for identifying process gaps.
- Ability to work independently and collaborate with teams across Sales, Legal, Engineering, Marketing, and IT.
- Familiarity with Microsoft Excel, Word, PowerPoint, Visio, or SharePoint.
- Strong written and verbal communication skills.
- Experience or interest in AI, automation, low-code platforms, or document management is a plus.
- Ability to research unfamiliar technologies and evaluate them against business requirements.
