The Senior Administrative Assistant serves as a central point of contact for the Student Affairs Division, providing clerical and administrative support to the Dean of Students and Vice President for Student Affairs (VPSA). This role manages office operations, coordinates divisional communication, and acts as a liaison between the VPSA and internal or external stakeholders. The position requires handling sensitive information with discretion and maintaining accurate, current information across the division.
What you'll do#
- Provide reception and front desk coverage, including screening callers and visitors and handling inquiries.
- Oversee the administrative suite, manage office supplies, and handle incoming and outgoing mail.
- Manage logistical aspects of meetings, committee groups, conference calls, and events, including catering, A/V needs, and travel arrangements.
- Support the planning, execution, and budgeting of student and staff programs, including speaker series and divisional meetings.
- Maintain and coordinate complex, shifting calendars and assist with leadership searches by organizing materials and scheduling interviews.
- Manage unscheduled office visits from students, faculty, staff, and community members, redirecting them to appropriate campus resources.
- Support VPSA student assistants with payroll and hours tracking and assist students with emergency loan processes.
- Maintain electronic files, website content, and office filing systems.
What you'll need#
- Associate's Degree or an equivalent combination of education and experience.
- 2-4 years of experience in office coordination.
- Proficiency in standard office software, including word processing, spreadsheets, data entry, PowerPoint, calendar tools, and human resources or financial systems.
- Excellent organizational and interpersonal skills with the ability to exercise good judgment.
- Ability to handle multiple projects simultaneously and prioritize tasks involving sensitive and confidential information.
